Understanding Article and Keyword Statuses in IndexPilot

This article explains what each IndexPilot article and keyword status means and how to use them to track your content from creation to publication.

IndexPilot uses a clear status system to show exactly where your content is in the pipeline — from keyword to published article. Knowing what each status means helps you track progress and take the right next steps.



How the Status System Works

Statuses combine signals from:

  1. Sitemap Detection → Confirms if content is live on your site

  2. Planner Status → Shows if it’s scheduled or queued

  3. CMS Sync Status → Confirms if it’s been sent to WordPress/Webflow

  4. Generation Status → Indicates creation progress

IndexPilot always shows the most relevant status so you know what’s really happening.



Status Types


🟢 Published

Your article is live on your site and detected in the sitemap.

  • Final successful state

  • Next step: monitor rankings and performance


🔵 Synced

The article has been sent to your CMS but not yet detected in the sitemap.

  • Usually updates to Published within 1–24 hours


🟣 Scheduled

Article is queued in the Planner for a future publish date.

  • You can still edit or reschedule


🟦 Ready

Article is generated and available for review.

  • Next step: schedule or manually sync to CMS

🟪 Ready for Review

Article is generated but flagged for manual approval.

  • Next step: review, edit, and approve


🟡 In Progress

The system is actively generating or syncing the article.

  • Typically takes 5–15 minutes


🔴 Failed

Something went wrong with generation or publishing.

  • Next step: retry or check error details


🟠 No Article

Keyword has no associated article yet.

  • Next step: click Generate to create content


Where You’ll See Statuses

  • Keywords Page → Published or No Article for each keyword

  • Articles Page → Lifecycle statuses (Ready, In Progress, Failed, etc.)

  • Planner → Scheduled and Synced articles

  • Dashboard → Overview of recent articles with their statuses

  • Article Pages → Detailed status history and sync info


Typical Status Flows

Standard Lifecycle

  1. No Article → In Progress → Ready → Scheduled → In Progress (sync) → Synced → Published

Manual Publish Flow

  1. Ready → In Progress → Synced → Published

Failure Recovery

  1. Failed → Retry → Ready/Synced/Published


What You Can Do by Status

  • Ready → Edit, schedule, or sync

  • Scheduled → Edit or reschedule

  • In Progress → Wait or cancel

  • Failed → Retry or edit

  • Published → View live article and monitor performance
